HR Specialist

Job Summary: HR Specialist will be in charge of a variety of HR-related duties, with a focus on employee onboarding and offboarding, expatriate services and HR administration.

Essential Functions:

  • Follow up on the Background Check process, employee onboarding and offboarding, and equipment preparation.
  • Support expatriate staff in the visa, work permit, and temporary residency card application process, including monitoring renewal terms and handling related tasks.
  • Prepare and ensure well-organized HR documentation, such as labor contracts, HR records, and reports.
  • Update and maintain staff databases, organizational charts, detailed job descriptions, and salary records.
  • Compile data for payroll, compensation, and benefit packages.
  • Monitor payments for Social, Health, and Unemployment Insurances, Union fees, and premium health insurance package costs, including annual renewals.
  • Monitor budgets by department and prepare required reports.
  • Implement and recommend employee training and development plans.
  • Assist employees with their eligible benefits and process their queries in a timely manner.
  • Prepare and implement HR policies and announcements throughout the organization.
  • Stay up-to-date and ensure compliance with labor legislation changes.
  • Collaborate effectively with HR-Admin and other teams to complete tasks efficiently.
  • Prepare company newsletters and support engagement activities as needed.
  • Provide required reporting data and support the Office & HR Manager when necessary.

Profile

Qualifications:

  • Familiar with labor laws and practices related to contract, C&B, and recruitment of both Vietnamese and expatriate employees.
  • Hands-on experience in supporting working visa, work permit, and relocation logistic support for expatriate.
  • Experience in Payroll and working with Social Insurance department, District Labor Union, Tax.
  • Strong self-discipline. High sense of integrity, professionalism and responsibility in confidential matters.
  • Pro-active, detail-oriented, self-motivated, good communication and team-work skills.
  • Proficiency in English (both verbal and written).
  • Technology literacy - Office applications like Microsoft Office, Google Workspace, or MacOS iWork suite. Experience in design tool like Canva is a plus.

Physical Demands & Working Conditions:

  • Prolonged periods of sitting and/or standing at a desk and working on a laptop.
